Sharing a dashboard with a user group

Any given dashboard can be shared with one or more User Groups, such that all users within those groups may access it. Additionally, a dashboard can be made the "default" for a given User Group such that all members of that group see that dashboard first when they log in to the platform.
 

Please note that User Groups must first have been configured by your administrator.


Which areas of the organization network/hierarchy a given user can view within a shared dashboard and whether they can make any changes to that dashboard will depend on the user’s outlet access permissions and user role respectively.



How do I know if a dashboard is currently shared?


Shared dashboards are indicated by the following icon: 


Dashboards that are not shared are referred to as Private and are indicated by the following icon:



Sharing a dashboard


Select the “More” menu icon shown below on the dashboard itself (or beneath the dashboard in the Dashboard Library) then select “Share” 




In the dropdown menu, select any User Groups that you would like to share with.

When you have finished selecting User Groups, select “Share”



All user groups you have shared with will be displayed as a list within the share modal and all users in those groups will immediately have access to this dashboard in their Dashboard Library.


You can return here at any time to change or remove sharing.



Setting a dashboard as the default for a user group


Once a dashboard has been shared with a User Group, it is also possible to set that dashboard as the "Group Default", such that all members of that group see that dashboard first when they log in.


To do this:

  1. Open the "share" modal as explained earlier in this article
  2. Select the "more" icon alongside the name of the relevant user group 
  3. Select "Make Group Default"


Now, any users that are a member of that group will see this dashboard presented at the very top of the "Dashboards" navigation menu in the product header, providing easy access at any time. Additionally, the next time they log in to TruHub, this dashboard will be the first thing they see. 

Furthermore, when viewing the Dashboard Library, any dashboard currently set as a Group Default can be easily identified as such as the User Group name is displayed directly on the dashboard thumbnail.



Remove a group default


To stop a dashboard being considered the default for a given User Group, simply:

  1. Open the "share" modal again
  2. Select the "more" icon alongside the name of the relevant user group 
  3. Select "Remove Group Default"



Can a user have multiple "group default" dashboards?


Depending on how you configure your User Groups, it may be very useful for a given user to be a member of more than one group.

In the event that each of those groups also has default dashboard associated with it then, yes, that user technically has more than one Group Default at that point.

The user will see each of those dashboards presented at the top of the "Dashboards" navigation menu in the product header but, in terms of which the user sees at log in, one needs to take priority over the other(s). The "Ordinal" field, populated when creating or editing a User Group within Account Admin, dictates this priority order.
